We are a hotel management company supporting 18 hotels with general bookkeeping, tax filing, payroll, HR, benefits and other compliance-related tasks. In addition to managing operating hotels, we assist with the bookkeeping and other administrative tasks for the construction or renovation of hotels. We are currently looking for someone to act as the main point of contact for all activities related to the construction and renovation bookkeeping. Supporting the construction and renovation activities is a key part of this role but only accounts for about 20 hours a week. We'd like someone who is capable and interested in taking a lead role in the bookkeeping of our operating hotels. This will include some complex reconciliations that require a high attention to detail and may require working with the hotel operations managers to ensure accuracy. Strong oral and written communication skills are required.

Key Responsibilities:

  • Act as the main point of contact for construction management team, vendors, subcontractors and ownership group.
  • Manage all aspects of the construction bookkeeping. This includes accurate and timely payments to all vendors subcontractors ensuring the accuracy of progress billings and SOVs, the collection of lien waivers, and ensuring all other compliance tracking.
  • Work with the Accounting team on general bookkeeping for our operating hotels. This includes bank and credit card reconciliation, ensuring the accurate reconciliation of accounts receivable (no collections duties), and accurate tracking and recording of cash deposits (no cash handling duties).

Qualifications:

  • Excellent oral and written communication skills.
  • Knowledge of construction billing processes, AIA forms and subcontractor compliance.
  • Highly organized with strong attention to detail and time management skills.
  • Ability to work independently.
