Stoa Group is seeking a Construction Project Coordinator to join our growing team in Charlotte, NC. The Project Coordinator will work with Stoa's Construction team to provide administrative support, including Stoa Support Team, Construction Management, and Site Leaders, to support the day-to-day processes related to the Company's construction projects. This role will also serve as the on-site office point of contact-greeting visitors, receiving deliveries, managing supplies, and staying in contact with the property manager for any maintenance or general office needs.

WHAT YOU WILL DO

  • Provide support to the construction team (Project Managers, On-site Team, and Trade Partners)

  • Set up job trailers, diesel tanks, and containers for new projects

  • Monitor job trailer office supply inventory and purchase new material with attention to budgetary constraints

  • Greet guests, receive and distribute deliveries, and maintain the front desk area to create a welcoming environment

  • Coordinate with the property manager on any office-related maintenance or facility needs

  • Track and reorder office and breakroom supplies

  • Manage construction documents in ProCore, the construction management software

  • Update contacts in ProCore

  • Set up project addresses and locations in ProCore

  • Train subcontractors, vendors, and new employees on ProCore. ProCore helpdesk - assist employees and trade partners with any issues.

  • Create Inspections in ProCore

  • Upload documents to permit and fire marshal portals.

  • Collect and organize Closeout documents at the end of projects

  • Obtain and distribute smart-safety reports

  • Utility account set up

  • Attend all project meetings and take minutes

  • Prioritize and manage multiple projects simultaneously and follow through on issues promptly

  • Create change events and equipment purchase orders

  • Manage licensing requirements for current and future projects

  • Other clerical duties as assigned

REQUIREMENTS

  • High School Diploma or Equivalent
  • Ability to understand and perform all on-site software functions; basic computer skills required.
  • Experience in construction and Procore preferred
