PROJECT COORDINATOR

The Project Coordinator plays a crucial role in supporting the Endocrine Society’s mission by administering grants and contracts for funded programs. The role involves managing a diverse portfolio of grants, collaborating with grantees and internal team members, and ensuring compliance with the society’s policies and federal regulations. The Project Coordinator is responsible for supporting the external and internal reporting and monitoring related to funded programs, including but not limited to progress reports, final reports, grant usage, compliance, and budgeting. This person oversees the entire grant lifecycle from award notification to project closure.
The Project Coordinator will also be the primary contact organization wide for staff on training, development, and support of our work management platform, monday.com. In collaboration with the Internal Project Manager, this position will help develop project templates, innovate our work processes with new ways to use the platform to increase transparency and coordination of project/program workflows, and offer general support to help individuals and teams on how to incorporate their work into the work management platform.
What you’ll bring to the job:
- BA/BS degree with a minimum 1-2 years of work experience. Degree requirements may be substituted with an equivalent combination of education, training and experience.
- Superior organization skills and is eager to learn project management within associations and non-profits.
- Detail oriented to ensure all tasks are identified and completed with the ability to cross check to ensure reconciliation of deliverables.
- Working knowledge of Microsoft Office, specifically in Outlook, Word, PowerPoint and Excel required.
- Ability to learn new technology and optimize as it evolves.
- Excellent oral and written communication skills, ability to actively listen, and customer service oriented.
- Excellent interpersonal skills with the ability to navigate different team dynamics & personalities.
- Ability to anticipate and proactively communicate issues/delays internally and externally, as appropriate.
- Enthusiasm about having opportunities to simultaneously drive multiple projects forward to get results.

What you’ll own:
Grants Administration
- Works closely with various teams within the Society, including program managers, finance, compliance, and other departments, to ensure grant processing workflows are efficient and compliant.
- Collaborates with internal teams and any external collaborative partners to define roles, responsibilities, and expectations of each team member.
- Proactively communicates and informs Development & Funded Programs (DFP) and Education, Programs & Meetings (EPM) teams of upcoming submission deadlines and deliverables, thereby ensuring smooth completion of work responsibilities.
- Briefs teams weekly on overdue reports, overdue submissions, and portfolio updates to identify projects out of completion and in need of escalation.
- Partners with the Finance team to ensure invoices are processed/re-processed in a timely manner.
Project Coordination
- Supports and manages assigned cross-functional and internal team projects within the association, ensuring successful completion and adherence to timelines and projected outcomes.
- Manages project teams with tasks like project planning, organizing meetings, coordinating communication, and monitoring progress.
- Conducts staff training on how to use Monday.com from basic to advanced functionality.
- Supports the building of metrics and dashboards for programs and project in Monday.com.
Other Duties
- Assist in efforts to rectify or rescope projects as needed.
- Other duties as assigned.

Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (Microsoft Office Products, AMS).

Work Location:
This position is located in Washington, DC and walking distance to Metro and major bus lines. The Endocrine Society offers a flexible, hybrid work environment. Employees are expected to work from the office at least 2 days per week to foster our collaborative culture and support cross-functional interaction.
