Job Summary The Project Coordinator will be pivotal in ensuring the seamless execution of projects involving radioactive and hazardous waste management. This position is responsible for coordinating equipment and material transfers, interfacing with subcontractors, overseeing project scheduling, maintaining customer communication, and ensuring the smooth workflow from project estimation to invoicing. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while adhering to strict safety and regulatory standards.
Key Responsibilities
Project Coordination and Scheduling:
Develop and maintain project schedules, ensuring timely completion of tasks and milestones.
Coordinate the transfer of equipment and materials to project sites, ensuring compliance with safety and regulatory requirements for hazardous and radioactive waste.
Monitor project progress and adjust schedules to accommodate changes or delays.
Subcontractor Management:
Serve as the primary point of contact for subcontractors, coordinating their activities and ensuring alignment with project goals.
Review subcontractor deliverables to ensure compliance with contract specifications and quality standards.
Work directly with the Director of Operations to ensure smooth work flow.
Customer Communication:
Act as the primary liaison for clients, providing regular updates on project status, addressing concerns, and ensuring customer satisfaction.
Prepare and present project reports to clients, summarizing progress, challenges, and outcomes.
Workflow Management:
Oversee the end-to-end project workflow, from initial estimation to final invoicing, ensuring accuracy and efficiency.
Collaborate with internal teams to prepare cost estimates, track project expenses, and support invoice generation.
Maintain detailed project documentation, including contracts, permits, and compliance records.
Compliance and Safety:
Work with the project Radiation Safety Officer (RSO) to ensure all project activities adhere to federal, state, and local regulations governing radioactive and hazardous waste management.
Coordinate with the designated Site Safety Officer (SSO) to implement and monitor safety protocols on project sites.
Administrative Duties:
Maintain accurate records of project activities, including schedules, budgets, and correspondence.
Assist in preparing bids, proposals, and other project-related documentation.
Qualifications
Education and Experience:
Bachelor’s degree in environmental science, project management, or a related field, or equivalent work experience is preferred, but not mandatory. Extensive experience in similar project coordination is the preferred measure.
2+ years of experience in project coordination, preferably in environmental services, hazardous waste management, or a related industry.
Skills and Competencies:
Strong organizational and multitasking skills with a keen attention to detail.
Excellent communication and interpersonal skills for interacting with clients, subcontractors, and the internal teams.
Proficient in Microsoft Office Suite (Excel, Word, and PowerPoint. Also familiar with shared information and software on Google Drives.
Knowledge of federal and state regulations related to hazardous and radioactive waste (e.g., EPA, NRC, OSHA) is a plus.
Ability to work under pressure and adapt to changing project demands.
Working Conditions
This position may require occasional travel to project sites and exposure to controlled environments handling radioactive and hazardous materials.
Must be able to work in compliance with safety protocols, including the occasional use of personal protective equipment (PPE).
Standard office hours with occasional overtime to meet project deadlines.
