Overview
PRISM Vision Group is seeking a highly organized and detail-oriented Senior Project Coordinator to support the M&A Integrations team, the Chief Medical Officer (CMO) and advance physician-led initiatives across the organization. This role is instrumental in helping plan and execute key physician workstreams, from leadership meetings to physician retreats. The ideal candidate is a proactive self-starter who thrives in a fast-paced environment, communicates effectively with physicians and executive stakeholders, and brings structure and follow-through to physician-focused initiatives.
Key Responsibilities
CMO & Leadership Support
- Serve as the primary coordinator for strategic initiatives and leadership activities led by the CMO, including the Physician Leadership Council and Medical Director Council
- Schedule, plan, and manage logistics for monthly physician leadership meetings, including agenda creation, materials development, and follow-up communication
- Draft correspondence, executive summaries, and briefing materials for internal and external physician audiences
- Develop agendas, content, and minutes for weekly Executive Staff Meetings
Retreat & Event Planning
- Lead planning and execution of physician-facing events such as the annual physician retreat and leadership summits
- Coordinate with vendors, venues, and internal stakeholders to ensure seamless execution of event logistics (e.g., travel, accommodations, communications)
- Create and maintain event timelines, trackers, and budgets
Project Management & Communications
- Track physician-related projects, timelines, and deliverables, ensuring clarity, alignment, and accountability across teams
- Develop and maintain trackers and project documents to keep stakeholders informed
- Liaise with cross-functional departments (e.g., HR, Operations, Marketing) to ensure successful execution of physician initiatives
Physician Engagement & Culture Building
- Help develop initiatives to strengthen physician community, connection, and culture across PRISM
- Support efforts to document and share physician best practices across the network
Qualifications
Education:
- Bachelor’s degree required; background in healthcare administration, communications, or project management preferred
Experience:
- 2–4 years of experience in project coordination, event planning, or executive support
Skills & Attributes:
- Exceptionally organized and detail-oriented
- Comfortable working with high-level executives and physician stakeholders
- Strong written and verbal communication skills
- Proficient in Microsoft Office (PowerPoint, Excel, Outlook, Word) and project tools (e.g., Monday.com, Teams)
- Professionalism, discretion, and a collaborative, can-do attitude
Work Environment & Travel
- Remote position with travel required for retreats and occasional in-person events (10–15%)
