SUMMARY: Detail-oriented and proactive Project Coordinator to support the successful planning, execution, and delivery of multiple single-family construction projects across various departments. The ideal candidate will assist project managers in organizing resources, managing schedules, tracking progress, and ensuring effective communication among stakeholders. This role requires strong organizational skills, the ability to multitask in a fast-paced environment, and a collaborative mindset to help keep projects on time and within scope.
DUTIES AND RESPONSIBILITIES:
- Obtain all required approvals for permits and act as liaison between Bear Homes and each municipality
- Prepare and submit permit applications, working closely with the municipalities on the status of permits to ensure they are processed in a timely manner
- Request and track required documents, submittals, and shop drawings, working closely with trade partners on status to ensure they are processed in a timely manner
- Homesite specific plot plans (surveys), field work, and as-builts
- Heat calcs
- ACC submittals
- Utility applications
- Shop drawings
- Maintain call company files relating to applications, submittals, approvals, permits, and construction documents
- Review plans/selections issued to confirm accuracy and correct revision dates
- Prepare start packages for the construction team
- Offer administrative assistance to the Superintendents as needed
- Update/maintain accuracy of information in Box, Buildertrend, and Smartsheet
- Request checks for permits and re-inspection fees
- Assist in tracking payments for permits, bond refunds, and Homeowner invoices
- Schedule and coordinate meetings and events for the design and construction teams
- Attend meetings with homeowners and produce meeting minutes when requested
- Work on special projects as assigned by department heads
- Maintains thorough knowledge of industry and developing technology.
- Performs other related duties as assigned by management.
QUALIFICATIONS:
- 2+ years of solid hands-on experience in construction working on administrative construction tasks.
- Experience/interest in design-related process of construction is preferred.
- Familiarity with construction standards and terminology.
- Acute attention to detail, exceptional verbal, written and presentation skills.
- Proficient with Buildertrend, Microsoft Office, Smartsheet and Construction accounting software.
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
- Proven ability to handle multiple projects and meet deadlines.
- Ability to deal effectively with a diversity of individuals at all organizational levels.
- Good judgement with the ability to make timely and sound decisions.
- Creative, flexible, and innovative team player.
- Ability to work on complex projects with general direction and minimal guidance.
- Ability to understand and follow written and verbal instructions.
