Responsibilities
Customer Relationship Management:
Record Keeping for the Environmental Sales Process
Collect New Client Information for Registration with Accounting
Create quotes
Confirm sales orders and obtain client authorization
Assist in the management and execution of contracts by coordinating with company officers
Communicate sales order completion to invoicing specialist for processing.
Execute invoicing when required
Interface and Communication:
Answer and return phone calls and e-mail in a timely and professional manner.
Interface between customers and laboratory operations/management
Communicate effectively with customers of schedule, costs, and other matters that affect delivery of results.
Provide proactive communication to keep customers informed.
Support and Maintain Customer Relationships:
Provide post-sale support and maintain customer relationships
Build strong relationships with internal and external stakeholders/customers.
Expectation Management and Issue Resolution:
Document, share, and manage customer expectations regarding project deliverables and timelines.
Resolve customer complaints by investigating problems, developing solutions, preparing reports, and making recommendations to management.
Project Coordination and Execution:
Work with the Laboratory Manager, Laboratory Coordinator, and Engineers to manage activities across departments to drive projects to completion.
Ensure a positive customer experience.
Drive stakeholder action and milestone completion.
Take ownership of issues and conflicts, working proactively to resolve them.
Support closed-loop learning for process improvement.
Demonstrate curiosity and continuous learning.
Reporting
Preparation of laboratory reports
Manual data entry in a timely and precise manner
Ten-Key proficiency with Accuracy and Speed (Prefer 8,000 KPH+ with 98% + accuracy)
Entry of data into excel template in compliance with established policies and procedures
Review and verify data prior and during entry
Perform high volume data entry work
Transmit and reconcile reports on behalf of the Laboratory Manager, Laboratory Coordinator, and Engineering Staff
Facility Management and Contracting:
Coordinate contracting work related to the facility (e.g., repairs, renovations, maintenance).
Ensure compliance with contracts and manage vendor relationships.
Coordinate facility-related activities to maintain a functional and safe environment.
Supply Management and Purchasing:
Maintain inventory of supplies and equipment.
Order necessary supplies for smooth operation.
Monitor stock levels and restock as needed.
Handle purchasing processes efficiently.
Additional Duties:
Perform other necessary tasks as needed.

Qualifications
2+ years of Project or Administrative Assistant experience
Experience in service coordination
Proven customer service background
Proven friendly telephone voice and demeanor
Ability to remain organized in a fast-paced environment, while managing multiple projects
Excellent written and verbal communication skills
Experience with accounting software, preferably with Enterprise Resource Management (ERP) systems. Note: TRI uses Acumatica. While Acumatica-specific experience is not required, please highlight it in your application if you have it.
Able to communicate, receive, and understand information and ideas with diverse groups of people in a comprehensible and reasonable method.
