Position Overview

Essential Job Functions

  1. Coordinate with pre and post conference activities for education programs, conferences and other events in compliance with department policies and procedures, under the direction of the assigned Project Manager.
  2. Track attendance and facility use requirements. Accommodate ADA requests in collaboration with event facility staff. Coordinate production and delivery of event-related materials. Perform event-related errands, including transportation and delivery.
  3. Responsible for event registration, including CRM setup and webpage creation. Manage event registration processes, online and in person. Handle registration transactions, issue receipts, and ensure compliance with cash handling procedures. Work closely with Member Services and IT Services to troubleshoot any access issues related to member portal accounts.
  4. Under the direction of the Project Manager, create presentations for conferences and other events, including PowerPoint and other platforms. Coordinate AV needs with the speaker and review submitted presentations to ensure no compatibility issues.
  5. Maintain prompt and transparent communication to TAC members, staff, and the general public by responding promptly and accurately to all inquires about TAC and TAC-affiliate sponsored educational programs, conferences, and events.
  6. Contribute to special projects.
  7. Perform other duties as assigned.

Qualifications

Experience/Education Requirements

  • High school graduate or equivalent required.
  • Zero -Three years experience in event planning, preferred.
  • Execute extensive travel commitments, including weekends. A valid Texas driver’s license and satisfactory driving record are essential

Other Skills and Abilities

  1. Position requires excellent communication skills, both written and verbal, and the ability to relate to persons with a variety of cultural, economic and educational backgrounds.
  2. Position requires a high degree of professionalism in representing TAC in significant contacts with elected officials, public employees, and members.
  3. Must be proficient in use of personal computer and Microsoft Office products including: Word, Excel, and PowerPoint. Experience with relational databases such as iMIS preferred.
  4. Must be proficient in set-up, use and troubleshooting of all audio visual equipment.
  5. Excellent time management and record keeping required.
