Job Description
The Engineering Project Coordinator will help ensure the successful execution of engineering projects, by delivering quality results on time and within budget. This position will play a critical role in facilitating communication, coordination, and logistical support for complex engineering project(s). Working closely with the Team Leader (TL), Deputy Team Leader (DTL), and home office Project Management teams, the Engineering Project Coordinator will ensure seamless execution of the project, fostering collaboration among all stakeholders, managing project timelines, and ensuring high-quality deliverables. This role requires strong organizational, administrative, and communication skills to help track project progress, manage resources, and maintain documentation.

Key Responsibilities:

Communication and Collaboration:
• Stakeholder Communication: Serve as the central point of contact for all project stakeholders, providing clear and consistent updates on project progress, requirements, and changes.
• Team Coordination: Promote open communication among project team members, ensuring resources are shared efficiently and all team efforts are aligned with project goals.

Organizational and Time Management:
• Project Planning: Assist TL and DTL in developing detailed project plans, technical data collection, including task assignments, timelines, and resource allocation, to ensure smooth project execution.
• Deadline Management: Help monitor and track project progress, ensuring that all tasks and deliverables are completed on time and within project constraints.
• Resource Coordination: Oversee the efficient use of project resources (human, financial, and material), supporting TL and DTL in managing project resources optimally.
• Quality Control: Support TL and DTL in reviewing project outputs regularly to ensure high-quality deliverables that meet the project's scope and objectives.
• Reporting: Assist in preparing comprehensive project status reports, highlighting progress, risks, and corrective actions. Organize and maintain a project archive.

Administrative and Document Management:
• Documentation Management: Ensure the accuracy and organization of project documentation, including contracts, reports, and correspondence, for easy access by relevant stakeholders.
• Scheduling and Coordination: Plan and organize project-related meetings, workshops, and events, handling logistics and ensuring proper follow-up.
• Budget Oversight: Support TL, DTL, PM, and local finance in tracking project expenditures, preparing financial reports, and ensuring that spending aligns with approved budgets.
• Logistical Support: Assist in coordinating the procurement and distribution of resources, including materials, equipment, and services needed for project activities.
• Event and Workshop Planning: Support the planning and execution of project-related events, managing logistics and budget oversight.
• Communication and Logistics for Short-Term Experts: Coordinate travel arrangements, including flights, transportation, and accommodation, for short-term experts.
• Contracts for Short-Term Experts: Assist in preparing contracts for short-term experts, working with the TL, DTL, and project management team in Germany.

Additional Responsibilities:
• Material Transfer: Ensure a seamless transfer of all relevant materials and documentation to new hires for efficient project transition and continuity.
• Compliance and Standards: Ensure all project activities comply with relevant regulations, standards, codes of practice, and legal requirements.
• Autonomous Coordination: Collaborate with CDM Smith's designated representatives to coordinate and communicate project progress while maintaining professional autonomy.

Deliverables:
• Regular updates on project progress to the Project team, including a brief listing of activities performed.
• Monthly and quarterly reports as outlined in the payment schedule.
• Full and accurate documentation of all activities, including a project archive for future reference.

Logistics and Support:
• All field activities will be organized and supported by CDM Smith and the SoWas/MBT teams.
• The Consultant will deliver the anticipated work results, including ancillary services, in accordance with the scope outlined in the contract.

Minimum Qualifications
Bachelor's degree. 3 years of related experience. Domestic and/or international travel may be required. The frequency of travel is contingent on specific duties, responsibilities, and the essential functions of the position, which may vary depending on workload and project demands. Equivalent additional directly related experience will be considered in lieu of a degree.

Background Check and Drug Testing Information
CDM Smith Inc. and its divisions and subsidiaries (hereafter collectively referred to as “CDM Smith”) reserves the right to require background checks including criminal, employment, education, licensure, etc. as well as credit and motor vehicle when applicable for certain positions. In addition, CDM Smith may conduct drug testing for designated positions. Background checks are conducted after an offer of employment has been made in the United States. The timing of when background checks will be conducted on candidates for positions outside the United States will vary based on country statutory law but in no case, will the background check precede an interview. CDM Smith will conduct interviews of qualified individuals prior to requesting a criminal background check, and no job application submitted prior to such interview shall inquire into an applicant's criminal history. If this position is subject to a background check for any convictions related to its responsibilities and requirements, employment will be contingent upon successful completion of a background investigation including criminal history. Criminal history will not automatically disqualify a candidate. In addition, during employment individuals may be required by CDM Smith or a CDM Smith client to successfully complete additional background checks, including motor vehicle record as well as drug testing.
