Overview

Summary:

The IT Project Coordinator works closely with the project manager to create comprehensive action plans concerning resources, budgets and timeframes for projects. The coordinator will work in alignment with the project manager to share information with relevant team members, establishing a clear path to completion overcoming obstacles and challenges. The role is the day-to-day contact for the project manager to help schedule, document, following up, and organize project deliverables ensuring the project stays on task and critical delivery milestones are met.

 

 

 

 

 

 

 

Responsibilities

Essential Duties and Responsibilities:

 

  • Responsible for the creating project plan documents and timelines associated with project and holding respective owners accountable.
  • Exercises discretion and judgement to identify/solve potential project timing or scheduling risk to proactively address with project team or escalate to project owner.
  • Monitors the overall progress of projects and resources and will update the Project Manager regularly on each department’s progress.
  • Organizes project meetings: schedule, purpose, agenda, and logistics.
  • Participate in project meetings capturing key notes, decision points, and necessary follow ups.
  • Prepares presentations or reports on project status reports keeping all members of the project team up to date on status and next steps.
  • Manage project correspondences by preparing, reviewing, and/or distributing project communications: meeting minutes, emails, etc.
  • Coordinates all project activities with project team members to keep workflow and milestones on track.
  • Facilitates communication between departments involved in projects, ensuring accountability around roles and responsibilities.
  • Captures input and feedback regarding project execution, recommending alternatives if the project is not in alignment with our desired outcome.
  • Administers company’s Project Management Tools and change management process.
  • Performs other similar duties

Qualifications

Education/Experience:

 

  • 2+ years of college in communications or related field of study and/or equivalent experience
  • Hand-on experience working in a cross functional team as an individual contributor or project lead
  • Excellent written and verbal communication skills including the ability to prepare clear, concise and accurate documentation, presentation materials, and reports.
  • Strong organizational and multi-tasking skills
  • Good communication and interpersonal skills capable of maintaining strong relationships.
  • Excellent analytical and problem-solving abilities. Ability to work through minor issues without assistance.
  • Comfortable with conflict resolution and solutions oriented
  • High attention to details even under pressure
  • Proficient computer skills, including basic MS Office skills: Word, Excel, Outlook, PowerPoint, and similar tools
  • Proficient in documentation management and experience with project management tools
  • Project Management Certification a plus
