Job Description

One Tech Engineering is searching for a Project Coordinator for a position located in Kansas City, Missouri. The Project Coordinator will facilitate engineering and construction projects by collaborating with the Project Manager and the project team in providing and presenting administrative project information.

The candidate must be a US Citizen or a green card holder, the position is not eligible for sponsorship. The candidate should have a Bachelor's Degree in a related field and 8 years’ experience.

Local candidates preferred or open to relocation. This is not a remote position.

Project Coordinator Responsibilities:

  • Assist Project Manager in the preparation of client contracts and sub-contracts, including facilitating contract reviews by coordinating with internal departments, such as Legal, Insurance, Purchasing, and Safety.
  • Manage project set-up in corporate Management Information System; run reports to communicate project financials and status to PM and team; collaborate with PM to make monthly adjustments as needed.
  • Facilitate the dissemination of information to vendors, subconsultants, clients and project teams as part of the overall communications and project management process.
  • Prepare and present meeting notes, presentations and tables utilizing Excel, PowerPoint, and other programs.
  • Monitor projects deadlines and benchmarks and support presentation of monthly progress reports covering action items and progress updates.
  • Assist in planning, coordination efforts and facilitate on-site and off-site meetings for the project. This may include: project orientation and training, stakeholder meetings, team meetings, client meetings, periodic reviews, etc.
  • Coordinate the required training programs and records for project personnel in conjunction with the corporate training department and project requirements to ensure compliance.
  • Assist PM and team in document control by maintaining electronic and paper files.
  • In collaboration with corporate Accounting Department, verify accuracy and compliance with project requirements of invoices, trip tickets and expense reports and process items in a timely manner.
  • Provide follow up reports on ARs and unbilled issues as assigned.
  • Administer project closeout activities.
  • Compose project cost forecast updates.
  • Develop procedures pertaining to internal project requirements.
  • Comply with all policies and standards.
  • Set-up meetings, reserve conference rooms, cleaning rooms before/after meetings.
  • Assist in caterings for meetings (breakfast/lunch when needed).
  • Main role for this position is to assist. Procurement, QA/QC, Construction Tech.
  • Many groups have monthly meetings if not weekly.
  • Event coordination for department team-buildings outside of the office.
  • Planning, inviting, getting contracts paid, etc.
  • Set-up Lunch & Learns for the division when requested.
  • Be the Learning Central Lead for the division.
  • Inputting Lunch & Learns and training / meetings for the division. 
  • Perform other duties as assigned.
Requirements of the Project Coordinator:
  • Bachelor's Degree in a related field and 8 years’ experience.
  • Or an Associate Degree in a related field and 10 years’ experience.
  • Or a High School Diploma/GED and 11 years’ experience.
  • Ability to work independently, demonstrating accuracy, reliability, organization and problem solving skills.
  • Advanced knowledge of Microsoft Word, Excel, and PowerPoint is required.
  • Excellent organizational skills, attention to detail, verbal and written communication skills and ability to handle multiple tasks.
  • Demonstrated ability to communicate with all levels within an organization.
