Position Summary: The CarePortal Labs Coordinator is an integral part of the Operations team, responsible for managing the "Innovate  Responsibly" objective. This role focuses on systematically vetting, validating, and scaling new ideas that enhance CarePortal’s mission of connecting communities to care for children and families in need. Acting as a project manager, the Labs Coordinator ensures that each idea follows an operational process—from initial qualification and prioritization to lab validation and implementation.


Key responsibilities:

Lab Management:

  • Oversee the lifecycle of CarePortal Lab projects, ensuring adherence to established processes.
  • Collaborate with Lab owners and stakeholders to gather information, qualify ideas, and prioritize initiatives.
  • Facilitate ideation, validation, and scaling of approved concepts.

Planning and Organization:

  • Define lab project objectives, oversee development of project plans, and align timelines with organizational goals.
  • Collect and organize materials, documentation, and research needed for Labs.

Coordination and Communication:

  • Schedule and facilitate meetings with Lab owners, stakeholders, and subject matter experts.
  • Act as the primary point of contact for Lab projects, ensuring transparent communication with internal teams and external partners.
  • Lead without authority by influencing and motivating team members to stay on task and meet deadlines.

Monitoring and Reporting:

  • Track project progress, and quality to ensure Labs are executed effectively.
  • Maintain accurate project documentation to inform leadership and stakeholders of Lab statuses.

Problem-Solving and Accountability:

  • Anticipate potential issues and collaborate with teams to address challenges.
  • Hold team members accountable for their contributions and timelines.

Qualifications

Required Skills:

  • Bachelors Degree in Communications, Administration, or relevant field, 
  • And / or a combination of 2-4 years of relevant project management experience.
  • Leadership and Collaboration: Proven ability to manage cross- functional teams and lead without direct authority.
  • Organizational Skills: Expertise in prioritizing tasks, managing time, and keeping complex projects on track.

Communication Skills:

  • Strong ability to articulate project goals, updates, and challenges to diverse audiences, including executives, external partners, and internal teams.

Project Management Expertise:

  • Two years of demonstrated experience in planning, executing, and closing projects successfully.

Problem-Solving:

  • Critical thinking and adaptability to address challenges and implement timely solutions.

Documentation Proficiency:

  • Experience in maintaining detailed and accessible project documentation. (Notion Preferred)
