JOB SUMMARY:

 

A Project Coordinator is a professional responsible for overseeing and coordinating various aspects of installation projects. This includes interaction with all field employees, Project Managers, and the Operations Manager. They play a crucial role in ensuring that projects are completed efficiently, on time, and within budget. Monitors and ensure the work schedule and execution of the work is consistent with company procedures, customer specifications, on-budget, on-schedule, and maintaining client satisfaction. This role is primarily responsible for the administrative support and key tasks necessary for processing installation project documentation, contracts, and customer service support calls. They may also be involved in handling day-to-day executional details of project work.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Document Control: Completes pre-qualification, requests for certificate of insurance. Manages and enrolls in customer portals and start up packets. Completed preliminary notices. OCIP and Wrap enrollment. Processes subcontract agreements.
  • Handles all Contracts, change orders and signed contracts within Juro working with Legal Department for contract execution
  • Enters all data into Acumatica and Smartsheet’s including project and billing requirements
  • Assists with change order processing, foreman performance reports, accounting system project update forms, etc on a real time basis as needed.
  • Works with Project Manager to ensure all billing is being captured each month and creates all SOV’s, invoices, payment forms and waivers based on customers requirements
  • Purchasing Support: Provides purchasing support to the Project Manager for materials, parts and equipment required daily by foreman and the take-offs, as projects require, ensuring job sites have the needed supplies in a timely and cost effective manner. Including following up with vendors on delivery dates etc. Works with project management to ensure all material is being costed accurately
  • Provides construction support by submitting submittals; and, scheduling pre-construction and inspection communicating with construction managers, project managers, and service managers as required.
  • Processes all paperwork necessary for business operations, maintaining schedules and construction databases and files.
  • Customer Responsiveness: Rapidly responds to customers’ needs. Works closely with project manager, field supervisors and field staff to assure complete customer satisfaction with projects.
  • Provides administrative support to the Construction Manager.
  • Perform other duties as assigned.

 

Qualifications

ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES, AND COMPETENCIES:

 

  • Ability to multi-task effectively and use good organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to work with minimal supervision.

 

COMPUTER SOFTWARE KNOWLEDGE:

 

  • Solid working knowledge of use of the Microsoft suite of applications (Word, Excel, etc.).

 

EDUCATION, EXPERIENCE AND/OR LICENSES:

 

  • High school diploma or GED with related vocational, technical or trade school classes acceptable with 5 years’ experience in a related industry.  Bachelor’s degree preferred.
