About the Role and Your Impact:
As a Project Coordinator, you will play a vital role in ensuring the smooth financial and administrative operation of multiple construction projects. You will work closely with Project Managers, the Accounting team, and external vendors to support invoice management, compliance tracking, and job cost accounting functions. Your attention to detail and proactive communication will directly contribute to project success.
Note: This role is 100% onsite.
Key Responsibilities:
- Review and process job cost invoices for accuracy, appropriate coding, and completeness
- Assist with the Accounts Payable (AP) process, including invoice entry, payment tracking, and vendor communication
- Support project compliance by maintaining and tracking necessary documentation such as lien waivers, insurance certificates, and contractor licenses
- Coordinate and process project-related refunds
- Maintain organized and up-to-date filing systems, both electronic and manual
- Perform invoice matching against purchase orders and contracts to ensure alignment
- Prepare periodic reports and summaries as requested by Project Managers or the Accounting team
- Perform various administrative and project-related duties as needed (ad hoc tasks)
What You Bring:
- Prior experience in a construction or related industry environment (strongly preferred)
- 2+ years of experience in project coordination, accounts payable, or a similar administrative function
- Familiarity with job cost accounting principles
- Strong organizational skills and high attention to detail
- Proficiency with MS Office Suite (Word, Excel, Outlook); experience with construction management software (e.g. Sage, MRI, or similar) is a plus
- Excellent communication and interpersonal skills
- Ability to prioritize, meet deadlines, and work independently in a fast-paced environment
