Position Overview:

The Project Coordinator is a key support role within the Project Management team, responsible for tracking, updating, and managing project schedules and change orders in a dynamic, fast-paced construction environment. As project timelines shift and change orders evolve, this role ensures that schedules remain up to date, change orders are properly documented, and critical project information is consistently organized. This key position is responsible for planning, executing, and closing projects while managing resources, timelines, and stakeholder expectations.


Key Responsibilities:

  • Project Schedule Tracking & Updates:
    • Maintain and update project schedules as upcoming construction project timelines shift.
    • Actively monitor and track schedule changes, ensuring all stakeholders are informed.
    • Work closely with Project Managers to ensure milestone tracking aligns with project execution and billing schedules.
    • Develop and enforce standardized scheduling processes in the PMO, NetSuite, MS Project, for consistency across all projects.
  • Change Order Management & Documentation:
    • Track and follow up on all change orders to ensure they are properly documented, approved, and logged.
    • Ensure change orders are fully executed before work is performed to mitigate financial risk.
    • Maintain an organized change order log, providing visibility to Project Managers and leadership pending, approved, and rejected changes.
    • Communicate regularly with PMs, field teams, and customers to keep change order status up to date.
  • Project Coordination & Process Standardization:
    • Support Project Managers by organizing and maintaining project documentation, including RFIs, submittals, contracts, and approvals.
    • Assist in defining and implementing structured processes for tracking project progress, scheduling, and change management.
    • Develop reporting and dashboards within VMB, MS Project & NetSuite to provide visibility into project timelines,       changes, and status updates.
    • Ensure project tracking data remains current, reducing gaps in scheduling and billing accuracy.
  • Communication & Follow-Up:
    • Act as a liaison between Project Managers, field teams, vendors, and customers regarding scheduling updates and change orders.
    • Proactively follow up with internal and external stakeholders to keep schedules and change orders moving forward.
    • Assist in scheduling internal and external project meetings and preparing necessary reports.
Requirements
  • 2+ years of experience in project coordination, scheduling, or construction administration.
  • Experience in the mechanical construction industry or large-scale construction projects is preferred.
  • Strong organizational skills with the ability to track multiple moving project schedules simultaneously.
  • Proficiency in project management software and ERP systems; experience with NetSuite is a plus. Strong Microsoft Excel skills are essential. 
  • Excellent communication skills, both written and verbal, with the ability to follow up persistently.
  • Ability to work in a fast-paced, constantly changing environment while maintaining attention to detail.
  • Strong problem-solving skills and ability to work independently.
