In this flexible 1099 role, you'll collaborate closely with our Project Manager and bookkeeper to manage job costing, process change orders, track subcontractor invoices, and ensure clean, organized documentation throughout the job lifecycle. Key Responsibilities:
Job Costing & Financial Coordination
Track project budgets and cost categories using JobTread
Add and manage change orders and budget revisions as they occur
Create and send invoices for initial deposits, progress draws, change orders, and final payments
Coordinate with the bookkeeper to ensure clean month-end reconciliation
Report any financial discrepancies or risks to the owner promptly
Organize and maintain project documentation for tax and audit purposes
Send customer proposals (written by PM) and ensure timely signatures
Generate weekly and monthly financial reports for ownership review
Vendor & Subcontractor Management
Maintain current W-9s, insurance docs, and signed subcontractor agreements
Track subcontractor and vendor invoices and route for internal approval
Ensure timely processing and payment in coordination with field staff
Monitor insurance and compliance records to meet jobsite requirements
Qualifications:
3+ years of experience in job costing, construction billing, or financial coordination
Strong familiarity with construction platforms like JobTread, Buildertrend, or Procore
Comfortable using spreadsheets (Excel or Google Sheets) for cost tracking
Excellent organization, documentation, and attention to detail
Able to communicate effectively with project managers, trades, and clients
Familiarity with subcontractor compliance (insurance, W-9s, agreements)
Independent, self-managed, and comfortable in a part-time 1099 capacity
