Summary

The position of Hospitality Project Coordinator is responsible for ensuring seamless organization and efficient completion of all assigned projects. This includes managing all aspects of project management such as generating quotations, handling swatches and samples, managing documentation, and delivering an exceptional customer experience throughout the process.

Description

  • Support daily activities relating to contract account interaction, order processing, inventory allocation and management, phone communication, and project quoting
  • Coordinate requests for custom products
  • Follow up and track costs, drawings, swatches, and PALECEK samples
  • Verify and ensure product specification sheets are complete and accurate
  • Create production requests, expedite (as necessary), monitor, and track in-house and overseas production for project(s) to ensure that work stays on schedule to meet projected timelines
  • Communicate frequently with customer(s) to keep them well informed of project and order progress from start to finish
  • Maintain the open quotes and opportunities log to include periodic follow-up with our customers
  • Manage all aspects of paper and electronic project files
  • Perform other duties and responsibilities as determined by management

Key Qualifications

  • 2-3 years experience as a project coordinator in relatable field
  • College degree in business or related field of study is preferred but not required
  • Highly motivated person with a strong work ethic
  • Excellent interpersonal and written communication skills required
  • Excellent organizational skills and strong attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to analyze problems, negotiate, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of goals
  • Proficient with Microsoft Office Suite (Outlook, Excel, etc.)
  • Responsive and extremely strong customer service
  • Demonstrated ability to work effectively with culturally diverse staff and populations

Physical Requirements

  • Operate in a professional office environment
  • Moderate noise i.e. business office with computers, phone, printers and light traffic
  • Prolonged periods of sitting at a desk and working on a computer
  • Ability to work in a confined area
  • Frequent visits in a functioning warehouse environment
  • Regularly required to stand, sit, talk, hear, use hands and fingers to operate a computer and telephone keyboard
  • Close vision requirements due to computer work
  • Ability to see various shades of color
  • Frequent bending, stooping, and lifting of up to 15 pounds unassisted
  • Must be a team player, critical thinker, detailed oriented, self-start and self-motivated
  • Must have high aptitude with ability to learn
