(Chicago-Hybrid) The position of Project Coordinator is to provide support and coordinate the activities of the Chief Marketing Officer and the Marketing Communications department. The Project Coordinator will stay abreast of the status of tasks and projects on behalf of the Chief Marketing Officer and facilitate communication with the rest of the executive leadership as well as internal staff and external vendor partners. The Project Coordinator will also be responsible for managing multiple projects of their own. This position is based in our headquarters located in downtown Chicago.
We are seeking an individual with a Bachelor’s degree in related discipline or equivalent experience. A minimum of 5 years’ experience supporting a chief level executive, in a high volume, professional office environment is required.
Essential Job Responsibilities Include:
Office Management and Support:
- Provide strategic support to the Chief Marketing Officer and the Marketing Communications team.
- Complete domestic and international travel arrangements and logistics.
- Research, prioritize, and follow up on internal team projects addressed to the CMO, including those of a sensitive or confidential nature.
- Recommend a strategic course of action, referral, or response on high importance priorities.
Project and Information Management:
- Facilitate and coordinate interactions between senior leadership, across all affiliates and US board members.
- Regularly assists in identifying critical issues that require the attention of the CMO, assisting the CMO in ensuring daily operational priorities are met.
- Facilitate or take on ownership of other major projects related to organizational expansion and daily operations.
- Assists in the flow and exchange of information between the CMO and the leadership team in the US office.
Technical Skills & Abilities:
- Attention to detail with the ability to view the “big” picture.
- Research and analysis skills with the ability to process and transmit information quickly and accurately.
- Possess strong organizational skills with diligent attention to details.
- Excellent verbal and written communication skills, including the ability to compose appropriate communications for various internal and external audiences (including correspondence for international constituents).
- Exceptional interpersonal skills and ability to interact with business leaders, public figures, and board of directors in a discreet and professional manner.
- Unquestionable integrity and discretion with confidential and sensitive information.
- Self-motivated, dependable with a good sense of judgement.
- A fast-learner who can hit the ground running.
- Sensitivity to varied cultures and religions, especially the Jewish and Christian communities
