Summary: The primary goal of the Project Coordinator is to coordinate the workflows, deadlines, milestones, action items affecting the administrative control of all Red 5 projects in support of and in coordination with the project managers, sales leads, and / or account leads.


This position is part-time, expected to work 20 hours per week.


Duties and Responsibilities: The following are the essential duties and responsibilities of this position. Employees are expected to perform other duties as requested by their manager and/or the executive team that may not be included within this job description. 

  • Participate in the business development process by:
    • Drafting proposals, statements of work (SOWs), estimated levels of labor effort, and project approach documents, in coordination with project managers and other relevant stakeholders; and
    • Supporting the Sales Lead with other business development initiatives, as requested.
  • Move documents through the contracting process, draft schedules, track project deliverables and deadlines, monitor compliance, and draft project closeout memos;
  • Coordinate the request for proposal (RFP) process for subcontractors and vendors that support Red5’s client projects;
  • Coordinate closely with other Red5 Managed Services leads on administrative support to their delivery of client work;
  • Coordinate with the Operations Manager on entering Red5 information into vendor portals;
  • Support Red5 client leads in their preparation of Quarterly Business Reviews (QBRs) for clients;
  • Measure the overall project performance, including scope, schedule, and labor budget in support of the VP for Managed Services and company leadership;
  • Support accounts payable by confirming invoice delivery to clients;
  • Monitor and maintain security licenses (e.g., DCJS, etc.) in coordination with the COO and VP;
  • Manage and maintain administrative relationships with client contacts as needed, and subcontractors regarding active projects; 
  • Support the leadership team with metrics, data, tracking, and reporting out on administrative topics as needed and;
  • Perform other duties as assigned.
Requirements

  

  • Bachelor’s degree in project management, or in a related field;
  • A minimum of 3 years experience, in a consulting environment preferred
  • CAPM Certification preferred
  • Experience using CRM software, HubSpot preferred. 
  • Proficiency in project management tools, like ClickUp
  • Ability to establish and maintain excellent working relationships with staff, vendors, and clients;
  • Ability to maintain a strong sense of propriety concerning confidential matters;
  • Ability to apply sound judgment and use discretion when dealing with sensitive information;
  • Ability to take direction and accomplish tasks efficiently, on time, within budget, and accurately;
  • Ability to work independently with minimal guidance as well as within a team;
  • Ability to work in diverse working environments;
  • Experience with Microsoft Word, Excel, PowerPoint;
  • Experience using email, internet, and telephone systems; 
  • Experience with Google Workspace; 
  • Familiarity with the Apple/Mac Operating System preferred;
  • Must possess authorization to legally work for any employer in the United States;
  • Willingness to submit to any requested background investigations; and
  • Fluent in English.
