Primary Responsibilities: Under the supervision of the RNC Branch manager and/or Division Admin Manager, the primary responsibility is to initiate the new construction installation files to prepare for rough-in and trim installation. 

 

Specific Duties & Tasks:

  • Field calls from Builder and record on call slips accurately.
  • Ensure that the print is available for the job.
  • Accurately and thoroughly initiate the job file (print, field copy bill of materials, estimate sheet, etc.).
  • Develop the work order through computer input.
  • Create the Master Schedule.
  • Interface with Builder on any issues and communicate these to Manager.
  • Pull Building Permits from applicable municipalities.
  • Maintain the Ready Schedule.
  • Prepare Will Calls.
  • Interface with Corporate on behalf of installation mechanics.
  • Request for any expired permits
  • Complete certified and First-Attempt letters
  • Maintain escrow accounts and credit card logs
  • Maintain a log for commissions
  • Maintain an ongoing log for retail rebates
  • Set up install jobs company-wide, depending on designated location
  • Mail out new permits
  • Schedule inspections for designated areas
  • Check inspection results by keeping logs and updating AX upon completion
  • Close out files that have completed final inspection, rebates have been processed, and finalized in AX. 
  • Organizing these files in the correct order stored in at the assigned location.
  • Responsible for maintaining a safe workplace and ensuring that safety is the highest priority in the workplace.
  • Responsible for special projects as requested by management and other duties/ responsibilities as assigned to meet the ongoing needs of the organization. 
  • Ensure compliance with all Del-Air policies and procedures.

Qualifications: 

  • High school diploma or equivalent required. Any combination of education, training and experience that demonstrates the ability to perform the duties of the position may be considered.
  • One year of administrative experience.
  • Previous experience in pulling permits, and scheduling inspections and jobs, preferred. 
  • Previous experience in the new construction industry, preferred. 
  • Computer literate with expert knowledge in MS Office Suite – Word, Excel, PowerPoint; working knowledge of all office equipment.
  • Outstanding communication and customer service skills
  • Eligible to legally work in the United States.
  • Be at least 18 years of age.
  • Ability to speak Spanish, preferred but not required.
  • Successfully complete a background check and drug screen.
  • Ability to thrive in a team environment.
